Documents to carry

Walking into a service center without the right documents can mean being turned away, a delayed repair, or losing your warranty claim. Here is the complete list:

Data backup steps

Your phone contains photos, messages, contacts, banking apps, and personal documents. Handing it over to a stranger, even a certified technician, means you want your data protected. Here is how to back up properly:

For Android phones

  1. Go to Settings > Accounts > Google and ensure all relevant accounts are syncing. Tap on each account and verify Photos, Contacts, Calendar, and any other data you need.
  2. Open Google Photos > Library > Utilities > Back up & sync and ensure it is enabled. Wait for the backup to complete (check the status bar).
  3. For WhatsApp chats, go to WhatsApp > Settings > Chats > Chat Backup and tap Back Up. Connect to Wi-Fi and wait for completion.
  4. For contacts, go to Settings > Accounts > Google > Account sync and ensure Contacts is enabled. Your contacts will sync to your Google account.
  5. Optionally, connect your phone to a PC via USB and copy important files (documents, downloads) to the computer.

For iPhone

  1. Connect to Wi-Fi and go to Settings > iCloud > iCloud Backup and tap Back Up Now. Wait for the backup to complete.
  2. Open Settings > Your Name > iCloud > Photos and enable iCloud Photos if you want photo backup.
  3. For additional safety, connect to a PC and open iTunes (or Finder on macOS) and create a local encrypted backup which includes your passwords and health data.

Budget at least 30 minutes for a complete backup, especially if you have many photos or videos. Do not skip this step. A repair that requires a factory reset will wipe everything if you have not backed up.

What to note before going

Prepare the following information before you arrive. Writing it down prevents miscommunication and helps the technician diagnose the problem faster:

Questions to ask at the service center

Good questions at the right time prevent misunderstandings and ensure you get quality service:

Do not feel pressured to make a decision on the spot. If a shop is pressuring you to approve a repair immediately without giving you time to consider, that is a red flag. Find a different Samsung, Mi, or Realme service center.

After the visit checklist

Once your phone is returned, run through this checklist before leaving the service center:

Following this checklist takes 10-15 minutes but ensures you catch problems before you leave the center, when getting a remedy is easiest. Service centers are far less responsive to complaints about issues you discovered a week after leaving.

How to handle extended repair times

Some repairs take days or weeks. If your phone will be at the service center for more than a day, ask whether they can provide a loaner device. Authorized Samsung and Mi centers sometimes have demo units or old repair phones they lend out for extended repairs. If no loaner is available, make sure you have backed up everything and signed out of sensitive accounts before leaving your phone. It is also worth asking whether the service center offers door pickup and delivery service, which some authorized centers in major cities provide at no extra charge. This eliminates the need to take time off work to visit the center twice.

What if the repair shop makes things worse?

In rare cases, a repair attempt can introduce new problems. If you notice a new issue after picking up your phone, return immediately. Document the new problem with photos and video. Contact the service center and reference your job card number. If a third-party shop refuses to acknowledge the new damage, approach a different repair shop for a diagnostic report. This independent assessment can be useful if you need to escalate the dispute. For authorized service centers, each brand has a customer grievance escalation process: Samsung has a dedicated escalation email and phone number, Mi has the Mi Community app and official support channels, and Realme has a similar support system. Use these escalation channels before resorting to consumer forum complaints, which should be a last resort.
